Your mission, roles and responsibilities
Our Clean Mobility Division is looking for an Executive Assistant for our North American Headquarters located in Auburn Hills, Michigan. The Executive Assistant provides high-level administrative support to the FCM North America President and performs duties such as coordinate meetings/conferences, collaborate cross functionally, and facilitate executive-driven events. This role works with a diverse group of external stakeholders, customers, visitors, and internal contacts at all levels of the organization. Independent judgment, resilience, and flexibility is required to plan, prioritize, and organize the diversified workload.
This job will require you to:
- Organize and maintain calendar management and correspondence within Outlook calendar/folders
- Coordinate global travel arrangements (transportation, accommodations, agenda, visa/passports) based on the President’s travel needs and preferences. Manage complex itineraries and complete related expense reports
- Create and update visual presentations, reports, email correspondence, etc. Edit documents for accuracy, format, and arrangement of material
- Organize and maintain electronic files, ensuring easy retrieval of information
- Schedules conference calls with internal and external customers
- Participate in leadership team meetings: Take notes, track assignments, and follow up on action items
- Provide support for meeting elements and preparation: Prepare materials, obtain materials in advance, distribute materials, and keep the President on schedule. Plan meeting logistics accordingly (facilities, food, accommodations, etc.) and act as a point of contact for visitors and company executives
- Collaborate with other departments (HR, Finance, etc.) throughout special tasks/projects, employee engagement activities, and off-site events on an as needed basis
- Handle confidential and sensitive information
- Arranges events for individual department or works with other department admins for integrated corporate events
- Consolidates multiple sectioned presentations from department team members into one presentable output
- All other duties as assigned
Position Specifications
Authorities:
- Creates Purchase Order Requests in Ariba on behalf of department (includes responsibility of office supplies for department)
- Approves expense reports and travel when delegated by Executive for department team members
- Has the authority when delegated by Executive to approve IAM corporate software requests for team members
- Authorized to sign contracts regarding corporate event planning
- Authorized to make corporate credit card purchases within company policy guidelines
Your profile and competencies to succeed
To succeed in this position, you will ideally have:
- Associate degree in administration, business, or related field.
- 5+ years’ experience as an Executive Assistant supporting senior leadership.
- Fluent in English required, French or Spanish is a plus.
- Willingness to work autonomously and/or in a team setting.
- Strong ability to plan, prioritize, and support multiple tasks/projects simultaneously.
- Demonstrate a high level of integrity to handle confidential and sensitive information.
- Proficient in Microsoft Office Suite (Outlook, PowerPoint, Excel, Word, OneNote, etc.).
- Exceptional oral/written communication, analytical, interpersonal, priority setting, time management, and problem-solving skills.
- High level of initiative and the capacity to take charge in the absence of detailed instructions
- Ability to be attentive to all aspects of the environment while working; to monitor environment during routine activity
- Ability to communicate effectively and accurately with all levels of management and international and local co-workers in written and spoken language
- Commitment to the highest ethical standards and willingness to adhere to Faurecia’s Code of Ethics and Code of Management
- Desire to be part of a global organization with flexibility to support across various time zones as needed.
